Getting Started
How do I create a Xenoraa account?
Visit xenoraa.com/register and sign up with your email address. After registration, you will be guided through a short onboarding flow to set up your business profile, choose your subdomain, and activate your preferred modules.
What is my Xenoraa subdomain and how do I change it?
Your subdomain is your unique URL on Xenoraa (e.g., yourname.xenoraa.com). You choose it during onboarding. To change it later, go to Admin → Settings → Profile. Note that subdomains must be unique and can only contain lowercase letters, numbers, and hyphens.
Is there a free trial available?
Yes. Xenoraa offers a free plan with access to core features. You can upgrade to a paid plan at any time from Admin → Settings → Subscription to unlock advanced modules like Xena AI, advanced reports, and higher limits. See our Pricing page for full details.
How do I invite team members to my account?
Go to Admin → Settings → User Management. Click Add User, enter their email address, assign a role (Admin, Manager, or Staff), and send the invitation. They will receive an email with a link to set their password and join your workspace.
CRM
What is the difference between a Lead and a Contact?
A Lead is an unqualified prospect — someone who has shown interest but has not yet been evaluated. A Contact is a qualified individual linked to an Account (company). The standard workflow is: Lead → Contact → Account → Deal → Quote → Sales Order → Invoice.
How do I convert a lead to a deal?
Open the lead from CRM → Sales → Leads, then click the Convert button at the top of the lead detail page. You will be prompted to create a Contact, Account, and Deal simultaneously. All existing lead data (name, company, email, phone) is pre-filled automatically.
Can I import leads from a CSV file?
Yes. Go to CRM → Sales → Leads and click the Import button. Download the sample CSV template, fill in your lead data, and upload the file. The system will map columns automatically and show a preview before importing.
How do I connect Meta Lead Ads to automatically receive leads?
Go to CRM → Integrations → Lead Source Integrations. Enable the Meta Lead Ads integration, enter your Meta App ID, App Secret, Page ID, and Access Token. Copy the Webhook URL and Verify Token shown, then configure them in your Meta for Developers dashboard under your App's Webhooks settings. New leads from your Facebook/Instagram ads will automatically appear in your Leads list.
Accounts & Finance
How do I record an income or expense entry?
Go to Accounts → Income or Accounts → Expenses and click Add Entry. Enter the amount, date, category, and description. You can also ask Xena AI — just say "Record income of Rs. 50,000 from client payment" and it will create the entry for you.
How do I generate a GST report?
Go to Accounts → Reports → GST Report. Select the financial year and month, then click Generate. The report shows GSTIN-wise taxable amounts, CGST, SGST, and IGST breakdowns. You can export it as PDF or CSV for filing.
Can I send invoices directly from Xenoraa?
Yes. Go to CRM → Inventory → Invoices, open any invoice, and click Send Email. The invoice is sent as a PDF attachment using your configured SMTP settings. To configure your email sender, go to Admin → Settings → Mail Configuration.
POS
How do I start a POS session?
Go to POS → Terminal and click Open Session. Enter your opening cash balance and confirm. The POS terminal will open, allowing you to add products, apply discounts, and process payments. Always close the session at end of day by clicking Close Session and entering the closing cash balance.
How does POS inventory sync with the main product catalog?
POS products are managed under POS → Products, which is separate from the CRM inventory catalog. Stock levels in POS are automatically reduced when a sale is completed. Low-stock alerts are triggered when stock falls below the reorder level you set on each product.
Xena AI
What is Xena AI and what can it do?
Xena is your built-in AI business assistant. You can ask it questions in plain English and it will query your live data to answer. It can: list and create leads, search contacts, show pipeline value, record income/expenses, check today's POS sales, list low-stock items, show overdue tasks, create projects, and give you a full business overview — all without leaving the chat.
How do Xena AI credits work?
Each message you send to Xena costs 1 credit. Free accounts receive 300 credits per month, which reset automatically on the 1st of each month. Paid plans receive more credits. You can check your remaining credits at Admin → Xena AI → Credits. Additional credits can be purchased if needed.
Can Xena remember information about my business?
Yes. Xena has a persistent memory layer. You can tell it things like "Remember that my primary lead source is Instagram" and it will recall this in future conversations. You can also say "Forget that" to remove a memory. Xena also automatically extracts and stores key business facts from your conversations over time.
How do I open the Xena AI chat?
Click the Xena button in the top navigation bar of your admin panel. A slide-out drawer will appear from the right side of the screen. You can also use the keyboard shortcut Ctrl + Shift + X to open or close it from anywhere in the app.
Billing & Plans
How do I upgrade my plan?
Go to Admin → Settings → Subscription and click Upgrade Plan. Select the plan that suits your needs and complete the payment via Razorpay. Your account will be upgraded immediately and all plan features will be unlocked.
Can I cancel my subscription at any time?
Yes. You can cancel your subscription from Admin → Settings → Subscription at any time. Your plan will remain active until the end of the current billing period. After that, your account will revert to the free plan. Your data is retained and you can re-subscribe at any time.
What payment methods are accepted?
Xenoraa accepts all major payment methods via Razorpay: UPI, Net Banking, Credit/Debit Cards (Visa, Mastercard, RuPay), and popular wallets. All transactions are secured with 256-bit SSL encryption.
I have a billing issue. Who should I contact?
