1. Getting Started with CRM Sales

The CRM Sales module is your central hub for all sales-related activities. It helps you organize prospects, track interactions, and manage your sales pipeline efficiently.

1.1 Lead Capturing

Effective lead capturing is the first step to growing your sales. Xenoraa offers multiple ways to capture leads, ensuring no opportunity is missed.

How to Capture Leads:

  1. Manual Entry:
* Navigate to CRM Sales > Leads.

* Click the + New Lead button.

* Fill in essential details such as Lead Name, Email, Phone, Company, and Source.

* Assign the lead to a sales representative.

* Click Save.

  1. Web Forms Integration:
* Xenoraa allows integration with your website's contact forms to automatically convert submissions into leads.

* Go to Settings > Integrations > Web Forms to configure.

* Map your form fields to Xenoraa lead fields.

  1. Import from File:
* For bulk lead entry, use the import feature.

* Navigate to CRM Sales > Leads.

* Click the Import button and select your .csv or .xlsx file.

* Follow the on-screen prompts to map columns and import.

2.1 Deals Pipeline Overview

Your deals pipeline provides a structured view of all active sales opportunities, categorized by their current stage.

Understanding the Deals Pipeline:

  • Stages: Deals progress through predefined stages (e.g., New Lead, Qualification, Proposal, Negotiation, Closed Won, Closed Lost). These stages can be customized in Settings.
  • Deal Value: Each deal includes an estimated value, helping you forecast revenue.
  • Expected Close Date: Track when you anticipate closing each deal.

2.2 Kanban View (Drag-and-Drop Stages)

The Kanban view offers a highly visual and interactive way to manage your deals, allowing for quick updates and an at-a-glance understanding of your pipeline.

  1. Accessing Kanban:
* Navigate to CRM Sales > Deals.

* Select the Kanban view option (usually an icon resembling multiple columns).

* To advance a deal to the next stage, simply drag and drop the deal card from its current column to the desired stage column.

3.1 Task Scheduling

Schedule and manage all your sales-related tasks directly within Xenoraa, linking them to specific leads, contacts, or deals.

How to Schedule Tasks:

  1. From a Deal/Contact Profile:
* Open the relevant Deal or Contact profile.

* Look for the Tasks section or a + Add Task button.

* Enter Task Subject, Due Date, Priority, and Description.

* Assign the task to yourself or a team member.

* Click Save.

  1. From the Tasks Dashboard:
* Navigate to CRM Sales > Tasks.

* Click + New Task and fill in the details. You can link it to an existing Lead, Contact, or Deal.

3.2 3-Dot Bulk Actions

The 3-dot menu (ellipsis icon) provides quick access to contextual actions, including powerful bulk actions that save you time when managing multiple records.

Performing Bulk Actions:

  1. Select Records:
* In Leads, Contacts, or Deals lists, select multiple records using the checkboxes next to each entry.

* Click on it to reveal options like Assign, Change Stage, Delete, Export, or Update Status.
